A property developer sells units that are still being built: guiding buyers, managing choices and following up a site at the same time. It often lives in Excel, mail and phone calls. In this project it comes together in one system, from first sale to handover. The platform follows every unit from first contact to handover, the integrations keep sales status and accounting in sync, and the project website shows the live offer. Buyers confirm their choices digitally and follow the site from a distance.

01 challenge

The sales status never quite adds up

The sales status lives in three lists that never match: the website, the sales agent and the internal spreadsheet. Buyer choices for kitchens and bathrooms go back and forth by mail, extra work is agreed verbally and only surfaces at the final invoice. The buyer coordinator spends half the week on the phone, and buyers call to hear how far along their apartment is.

One file per unit, one portal per buyer

Each unit file bundles the buyer, the choices, the extra work, the documents and the status. Buyers follow their apartment through their own portal: confirming choices digitally, consulting documents, viewing site photos. Extra work is recorded and approved the moment it comes up. The sales status is live and automatically feeds the project website. Your accounting package (Exact Online, Yuki, Billit, ...) and your calendar simply get connected; a sales package you use today can keep running or be replaced.

Built in phases that work right away

We first map out the full story: which steps a unit takes from first sale to handover, and who does what. Along the way we look at what already exists and what you use today: sometimes connecting is the best choice, sometimes the platform replaces a package that only half fits. I build custom where it genuinely adds value. Then I build in phases that are each immediately usable: first the unit files and sales follow-up, then the buyer portal and automation, finally the project website with the live offer. Your team switches per phase and never has to change everything at once.

Every choice and every piece of extra work is recorded and approved before it is invoiced. The sales status adds up everywhere at once, from the office to the website. After delivery the system keeps running under a maintenance plan: updates, monitoring, backups and a fixed point of contact for questions and small changes. And because everything sits on the same foundation, the company can keep building step by step whenever it is ready.
